This Privacy Policy explains how St Barnabas Westmead Anglican Church (“the Church”, “we”, or “us”) collects, uses and protects your personal information. We are committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

 

1.            Collection of Personal Information

1.1         By visiting our website, using any of our services or otherwise providing us with your personal information (or authorising it to be provided to us by someone else), you agree to your personal information being handled as set out in this Privacy Policy.

1.2         We may collect personal information such as names, residential and postal addresses, phone numbers, email addresses, date of birth, education/qualifications or experience.

1.3         We may also collect other personal information that you provide, such as payment records should you register to attend events at or being undertaken by the Church. The information collected may also include some sensitive information (as defined by the Privacy Act 1988).

1.4         We only collect personal information where it is reasonably necessary for the provision of our services or the administration of the Parish.

2.          Definitions

2.1         For the purposes of this Privacy Policy:

(a)          “Personal information” means information or an opinion about an identified individual, or an individual who is reasonably identifiable;

(b)          “Personally Identifiable Information” means any representation of information that permits the identity of an individual to whom the information applies to be reasonably inferred by either direct or indirect means;

(c)           “Sensitive Information” includes information about your health, your race or ethnic origin, political opinions, or religious beliefs.

3.            Use of Personal Information

3.1         We will use your personal information only for the purposes we have disclosed at the time of collection, for any permissible secondary purposes as defined under Australian Privacy Principles, for any purposes to which you have consented, or as set out in this Privacy Policy.

3.2         We will not use or disclose your personal information for any other purpose without first seeking your consent, unless authorised or required by law.

3.3         Generally, we will only use and disclose your personal information as follows:

(a)          to establish and maintain a record of your Church involvement and attendance

(b)          to provide the services you have requested from the Church

(c)           to answer your inquiry

(d)          to register you for events or conferences

(e)          to keep you informed of new developments we believe may be of interest to you

(f)            to coordinate and organise activities

(g)          to facilitate the Church’s fulfillment of its legal obligations

(h)          to carry out Church ministerial and administrative activities

(i)            as required by our other Church policies

4.            Church Directory

4.1         The Church maintains a church directory for its members and regular attendees as well as staff and our Rector.

4.2         Inclusion in the church directory is voluntary. The church directory is only made available to attendees who themselves have chosen to be included in it. Access to the church directory may be made available online (by a password-protected personal login) and may be also provided in print.

4.3              Information displayed is limited to contract information (and where provided, photo) of members only.

5.            Church Bulletin

5.1         The Church produces a regular bulletin to share church news. Office holders and event coordinators may have their contact details published in the bulletin. This bulletin may be published on the Church website.

6.            Protection of Personal Information

6.1         The Church takes the protection of personal information very seriously. We will take reasonable steps to keep secure the personal information which we hold and to protect it from unauthorised disclosure and misuse.

6.2         Information may be stored, in both written and electronic formats, in various locations, including on site, at the homes of organisers, as well as in electronic and/or cloud-based (possibly overseas) storage.

6.3         Some services and conferences are organised or administered by volunteers within the Church community, who may have access to that specific and relevant information, such as contact details or health information, for the purpose of fulfilling that role. These roles are only given to trusted individuals, who will take reasonable care when handling data.

7.            Access and Correction

7.1         You can request access to the personal information that the Church holds about you by contacting us as set out below. Please notify us if you would like to have any information corrected or removed. We will review and honour reasonable and practicable requests, except where we have an obligation (e.g. under law, to our insurers, or in respect of our other Church policies) to retain information.

7.2         Where established, members of the Church may access their own personal information in the membership directory through personal login through a mobile app or members’ website.

8.            Retention of Personal Information

8.1         Personal information collected will be retained for as long as you remain a member of the Church or are attending or participating in the services provided by the Church. Personal information will also be retained for a reasonable period afterwards.

8.2         Following a reasonable period after leaving the Church or ceasing to attend or receive the services provided by the Church, personal information will be archived unless directed to be removed.

9.            Changes to Privacy Policy

9.1         The Church reserves the right to modify this Privacy Policy at any time without prior notice. A copy of the current Private Policy will also be maintained on our website. Reasonable efforts to notify members of any changes made to the policy may also be made via email or other appropriate means.
